Minutes​ of​ AGM​ held​​ ​Tuesday​ 31st​ October,​ 2017

Present: ​ The​ ​ meeting​ ​ was​ ​ attended​​  by​ ​ 28​ ​ members​

Apologies:​ ​Ros​ ​Farley,​ ​Hilary​ ​Davies,​ ​Anita​ ​Venton 

Minutes of​ AGM​ 2016.​ These​ ​had​ ​been ​ ​previously ​ circulated​ to​ ​ members​ ​ with​ further ​ copies available​ ​​prior​ ​to​ ​start​ of​ ​ AGM.​ ​ Pat​ ​ ​Tanner ​​proposed
approval​ ​which​ ​was​ ​seconded​ ​and​ ​minutes​ ​were​ ​approved. 

Matters​ ​Arising.​ Penny​ ​wondered whether​ ​ her​ ​ Christmas​​ ​cards ​ would​ ​ be​ printed​ ​this​ ​year.​ John​ ​pointed​ ​out​ that​​ ​this​ ​decision ​​was​ ​not​ within​ remit​ of
society

Chairman’s​ ​Report.​ 
​There ​ had​ ​ been​ ​ no​ ​ official​ ​ Chair​ for ​ 2017​ ​ but​ ​John​ chaired ​ meeting​ ​ ​and​ ​had​ welcomed​ ​​members.

Treasurer’s​ ​Report.
​John​ ​Rix​ had prepared​ ​treasurer’s​ report​ ​ ​which​ ​was available ​ to​ members​ ​ prior​ ​ to​ ​ meeting.​ ​This​ year​ ​ there​ ​ was​​  a​ modest​ ​ loss​ of​ ​£43.74​ and​​ ​John​ ​advised​ ​this ​ was​​ ​partly ​due​​ ​to​ ​increase​ ​in​ fees​​ for​ ​​the hall ​ and​ Betty​ ​ commented​ ​ that​ ​ sales​ ​ ​from ​ ​the ​ summer​ ​ ​exhibition ​ had​ been​ down ​ on​ ​ previous​ ​ year.​

The​ report​ ​ was​​  approved.​
​Pat​ ​ Tanner​ ​ suggested​  that​ £5​  for​ ​ a​ ​ ​day’s ​ ​workshop ​ was​too​​ little.​​ 
After​​ ​discussion ​​it​ ​was proposed ​ that​ we​​ ​raise ​​fees​ ​for​ ​workshops ​ ​to  ​​£10​ ​and​ ​fees ​​for​ guest​ attendance ​ at​ demos​ ​ to​​ £5.​ ​ Pat​ ​ Tanner​ ​ proposed​ ​ the​​
​increases and​​  the​ proposal​ ​to​ ​raise​ ​fees​ ​for​ ​workshop​ ​was​ ​carried​ ​unanimously​ ​and the​ raising​ ​of​ ​fee ​ for​ ​ guests​ ​ was​ ​ accepted​ ​ ​with just​​  one​
​vote​​ ​against. Membership ​ fees​ ​ to​ ​ remain​ ​ at​ ​ £30​ ​ for​ ​ the​  ​coming​ ​year.​ 

 Exhibition​ ​Reports.​ 
Freddie​ ​gave​ ​exhibition​ ​report​ ​and​ ​thanked​ ​committee and​ ​members​ for​ their​ contribution​ to​ ​the​ smooth​ running​ and​ success​ of the ​
exhibition​ ​ and​ ​ preview​ ​​evening.​  ​Pictures ​​had ​​been​ well​ framed​ and​
prepared ​ for​ ​ hanging​ ​ and​ ​ the​ ​ display​ ​ looked​​ ​smart.
Simon​ ​-​ director​ from​ Nature​ in​ Art​ had​ opened​ the​ exhibition​ giving an excellent ​ opening​ ​ speech​ ​ which​ ​ included​ ​ some​ salient​ ​ points ​​ ​about​ ​pricing. He​ ​also​ judged​ ​the​ ​competition for​ ​ the​ ​ Stagecoach​​  trophy​
​on​ ​ the​ ​ ​theme ​ of​ reflections.​  ​This​ ​was​ ​won​ ​by​ ​Sean ​​Dunn ​ ​who ​ also​ ​ won​ ​ the​ ​ member’s​ choice ​ trophy.​

The​ sketch​ ​ book​ ​​display​ ​was​  also​ very​ ​ well​ ​ received.​​ 
The​ downside​ ​was​ ​that​ ​number​ ​of​ ​sales​ ​was​ ​considerably​ ​down​ on​ previous
year​ and Freddie​ ​ wondered​ ​ whether​ ​ we​ ​ ​are ​ being​​  experimental​ ​enough! Freddie​ ​thanked​ John​​ ​Griffin​ ​for ​​handing​ ​her​ ​his​ ​mantle​ ​and​ ​John​ ​in​ ​turn thanked​ ​Freddie.

Betty​ ​ made​ ​ the​ ​​point​ ​that ​ ​the ​ Summer​ ​ exhibition​ ​ is​ a​ reflection ​ of​ ​ the​ ​ work​ ​ of​ ​ members​ ​ over​​ ​the​ ​previous​ ​year​ whereas​​ ​the Christmas​ ​exhibition​
​is​ more​ of​ a​ selling​ exhibition.​
​This​ point​ was​ met​ with general ​ agreement.​

Christmas​ ​Exhibition.​  ​Freddie​ ​advised​ ​that​ ​this​ ​year’s​ ​exhibition​ ​would​
​be less​ ​structured​ ​and​ ​asked ​​for​ ​members,​ ​where​ possible, to​ ​​submit​ ​smaller entries. ​ There​ will​ ​ be​ ​ a​ ​ blanket​ ​ ​fee ​ for​​  exhibiting​ and​ ​ members​ ​ will​​ ​receive an ​ entry​ form​ ​ and​ ​ cards​ ​ for​ ​ ​labelling ​ pictures.​

John​ ​explained​ the​​ complications​ re.​ hire​ of​ Town​ Hall​ which​ we​ are​ not able​ to​ have​ this​ year.​  ​Penny​ ​advised​ ​that​ ​a​ ​councillor ​ had​ remarked​ ​ on​ the ​ excellent​ ​ report​ ​ John​ ​ had​ ​ made​ ​ ​to ​ ​council. John ​ advised​that ​ we​ ​ had​ been​ ​offered​ ​Watson​ ​Hall​ ​on​ ​the​ ​two​ ​Saturdays​ ​that Father​ ​ Christmas​ would​ ​be​ ​there.​ However ​ ​it​  was​ ​ felt​ ​ that​ ​ visitors​ ​ ​bringing their​ ​ children​ ​ to​ meet​ ​Father​ ​Christmas​ were​ less​ ​ likely​ ​ ​to​ view​​ ​and​ ​purchase​ ​from​ ​our exhibition.

The​ ​dates​ ​for​ ​this​ ​year’s​ ​exhibition​ ​will​ be ​5 th​  and​ 6​ th ​ of​ ​ December​ ​ with​ entries ​ in​ on​​ ​the​ ​4th.​  ​Anthony​ Rhodes,​ a​ local​ ​ estate​ ​ agent​ ​ who​ ​ Freddie​ knows​ ​has​ ​offered ​​us​ ​the​ ​use​ ​of​ ​Cartridge​ ​World​ -​ one​ of​ his​ vacant properties.​  ​John​ thanked​ Freddie​ for​ ​her​ ​efforts​ ​in​ ​securing us​ ​ an​ alternative ​​and​ ​Freddie​ ​thanked​ ​John​ ​for​ ​all​ ​his​ ​help​ ​with​ approaches​ ​ ​to​
​the Council.

Outside​ ​Painting:​  ​Prior​ ​to​ ​meeting​ ​John​ ​had​ ​circulated​ ​a​
​detailed​ summary of ​ outside​ ​ painting​ ​ days.​ 

 Election​ ​of​ ​Committee.
Prior​ ​to​ meeting​ John​ had​ agreed​ his​ willingness​ to​ ​be​ proposed for​ position ​of​ ​ Chairman​ ​ which​ he​ ​ has​ ​ ​been ​ covering​​  for​ ​ last​​ ​twelve​ months​​  in​
unofficial​ ​capacity!​ 
​Steve​ ​also​ ​agreed​ ​to​ stand​ ​ again.​ ​ Chris​ ​ proposed​ ​ ​John
and​ Betty​ ​​et​ ​al​ ​seconded ​ ​- ​ so​ ​ we​ ​ have​ ​ a​ ​ Chairman.​ ​

Pat​ Tanner​ ​ proposed​ committee ​ be​​ re-elected​ and this​ was​ carried.​  In​ ​​addition​ ​we​ have a​ list​ of  volunteers​ ​willing​ ​to​ ​be​ ​co-opted​ ​onto​ ​committee​ ​at​ times​ of ​need.

Any​ ​Other​ ​Business
1.   It​ has​ been​ suggested that​ ​ TAS​ ​ take​ ​ over​ ​ alternative​ ​ Tuesday​​  art​
group ​ from​ ​ Sheila.​ ​ This​ will​​ mean​ ​ we​ ​ meet​​  weekly​ for​ ​ most​ ​ of​ ​​year and​ ​members​ ​will​ ​have​ ​more​ ​opportunities ​ for​ own​ ​ painting.​

Committee ​ will​ meet​ ​ to​ ​ put​ ​ together​ ​ ​a ​ proposal​ ​ for​​ consideration​ ​ by​
members​ ​and​ ​an​ ​extraordinary​ ​general​ ​meeting​ ​will​ ​be​ ​held​ ​at​ ​some point ​ in​ new​ ​​year​ ​to​ ​vote​ ​on​ ​proposition.

2.   Steve asked​ ​ members​ ​ to​ ​ ​submit ​ material​​ for​​  inclusion​ on​ ​ website​ ​ and​ also​ thanked​ ​ John​ ​ for​ ​ organising​​  the​ ​ walking​ ​ exhibition.​

3.   Helen​ asked​ when​ programme​ for​ next​ ​ ​year ​ ​would ​​be ​ finalised​ ​ as​
she​ needs​ a​ couple​ of​ month’s notice ​​for​ inclusion​ of​ demos etc​ ​ in​ Tewkesbury​ ​Direct.

4.   Peter​ Martin received​ his​ trophy​ for​ most​ popular​ entry​ ​ voted​ ​ for​ ​ by​ ​ visiting​ public​ from​ John.​  ​Chris​ ​gave​ ​John​ ​his​ ​Chairman’s​ ​chain​ of​ office.

Provisional​ ​date​ ​for​ ​AGM​ ​2018​ ​is​ ​2nd​ ​October.
